Getting Started with Distribution Kit - Sending Distribution.

How to send distribution to your crew with Croogloo.

Start by clicking on the 'Send Email' button from the home page.

Select Recipients:

Distribution Lists:

Select your distribution lists and recipients. Note that you can select multiple distribution lists.

You have the option to expand distribution lists to add or remove individuals within them.

Department Lists:

You can search for recipients by department or by name.

Search by Name:

Search by entering the name in the top search bar.

Add new email:

Type in the email address and press 'Enter' to add them to your recipient list.

Compose Distribution:

Now, you can start composing your message.

Templates:

You can choose to use a template from within Croogloo or start from scratch.

Attachments:

There are 2 ways you can attach files to your email.

Upload Files:

Select files from your computer to upload. You will be prompted to categorize files as you upload.

Find Files:

Select files already uploaded to Croogloo to attach to your distribution.

Send PDF as Link:

Once your file is uploaded, you will have the option to send PDF files as links. Check the "Send PDF Files as Links" box.

Select your permissions and expiry time:

Send Text Message with Distribution

To send a text message in tandem with distribution, expand the Text SMS dropdown and enter your message.

Texts will only be delivered to selected recipients that have attached phone numbers.

Personalization

You can personalize your message by inserting your recipients' names.

Place your cursor where you wish the name to insert and select the name you wish to enter.

Sending your Message

Preview

Before distributing to your entire crew, you can send a preview to yourself.

Schedule Send

You can also schedule the distribution to be sent at a later date.

Send

Simply select "Send" if you are ready to distribute.

Distribution Alerts

Smart alerts will pop up to assist with reviewing your distribution.

Cast-Agent Pairing:

Prompt to include any linked cast members and/or agents. Learn how to set these alerts up here

SW/HW/FW Alerts (aka Email DooDs)

Alerts to prompt removal of any inactive contacts. Learn how to set these alerts up here

New contacts:

If you added a new email address in the search bar, you will l be prompted to add them to your contact list

Once you're satisfied, click 'Send'.

Undo Send

To undo your distribution, go to your Outbox and click "Abort" beside the message in the list.

Your email will then be moved to the drafts folder.

Frequently Asked Questions

How do I add a daily to distribution?

To add additional recipients manually, type in the new email addresses when selecting recipients and hit enter.

What is the Outbox for?

All outgoing distribution is held for 1-2 minutes. In this time, you can go into your inbox and use the 'abort' function. This will stop the email from going out and place it in your drafts folder for further review and/or editing. To edit your outbox settings, navigate to Production Settings.

How do I set Prod Office as the reply-to address?

Create a contact card for the Production Office email and set it to the Production department, and "Production Office" as position. Make sure to invite them as a user and select the Admin security settings. After validating the account, the email will show up as the reply-to address for all admins.
