Use the Crew Intake Form
The most efficient to import your contact details without any data entry. By having your fill out the google form, all their details will automatically be relayed before you even have to send out your first document.
From the Templates tab
Select Crew Intake.
You'll have the option to view the form as an administrator, edit it if necessary, or distribute the form.
Distribute Form: Send to crew to fill out
View Form: Admin access to edit form questions
You can distribute the form to your crew through Croogloo, or acquire the google forms link to share with your crew by SMS or other means.
How it works:
When the form is filled by crew, their contact details automatically update with information they provide without re-entry required from the production office.
Details relayed from the Crew Information form to Croogloo contact listings are:
First Name
Last Name
Department
Position
Phone Number
Address
Postal
Start Date
End Date
Emergency Contact Name
Emergency Contact Phone Number
Food Allergies
Name display for credits
Wrap Shirt Size
Production ADMINs have access to modify the form. Only the details listed above will be relayed, any additional intake questions will only be reviewable from the intake form.
Sync Contact from Another Google Account
If you have contacts in another google account, simply log into that google account within Croogloo to sync all contacts!
Step 1:
From any page, locate the "Import Contacts" widget.
Step 2:
Select "Google Contact Import" from the list provided.
Step 3:
Select a Gmail account for synchronization.
This may take a few minutes to process.
Upon successful connection, all contacts and distribution lists stored in the Gmail account will be migrated to Croogloo.
Google Contact Import Report:
After the import process, a detailed report will be sent to your email. This report includes the total number of contacts imported, any errors encountered, and contacts that were not relayed.
Note: Duplicate contact listings are merged during the import process. Any contacts deleted in Croogloo after a Google import will be skipped in future Google imports, unless you modify this setting in your production settings.
Importing vCards
If you want to import one or a selection of contacts only from another mail account, put them into a group to export as vCard(s), also known as VCF - this is a standard file format for storing digital contacts.
Step 1:
To import contacts via vCard, click on the contact icon on the header bar.
Step 2:
From here, you can upload your vCard files.
Step 3:
Drag & Drop your vCards into Croogloo
This may take a few minutes to process.
Adding a single Contact Manually
For those times you have to add just one person!
Step 1: Start from the dashboard or any page in Croogloo, and find the Import Contact widget at the top right corner.
Select Add Contact.
Step 2: Select their category: the list includes Crew, Cast, Agent, Studio, Union, or Vendor. The default category is crew.
Step 3: Add their name and email. Multiple emails are accepted.
Step 4: Adding Start, Finish, or Hold dates will ensure that any distribution they are set to receive will not be sent on all outside dates, but will ask the sender if they want to be included.
It will also prompt production 3 weeks before their Finish work to trigger any HR requirements for End of Contract notices.
Step 5: Choose from any of the preset department, and add their position. Multiple departments may be added.
Step 6: Adding a phone number enables the ability to send them SMS messages.
Many more fields are available, including credited name, emergency contacts, allergies, wrap gift sizes, and addresses.
Step 7: To the right, all current distribution lists will be displayed. You may opt to add this person right away to any of them by checking the boxes.
Step 8: You can choose to invite this new contact to Croogloo using the invite button. This prompts to select their security level. This step is optional.
Alternatively, just click save.
