Scripts & Sides

How do I get script to show up when making sides?

You need to parse the script. You can do this by selecting 'Parse Script' from the script menu (the three-dot icon). This will update the data.

If there's no change, try again using a different version and color to ensure the file isn't blocked by a cache.

Why isn't my script parsing?

Check the format of your script file. It should be a PDF, not an image file stored as a PDF. You can check this by clicking on the page

If the entire page highlights, it's an image file and this has caused a processing error.

Scenes are not displaying correctly?

If scenes are not displaying as expected, it's possible that the file has cached data in the PDF. In this case, contact the script coordinator for an updated version to resolve the issue.


Account

How do I sign-in?

If you are in the production office with Admin access, please login here:

I'm having trouble logging in?

Try these if you have issues logging in:
- Verify that you are using the correct login credentials.
- Verify you have validated your account via the invitation email.
- Verify you have been invited to the production on Croogloo.
- Reset your password if necessary.
- Check if the Caps Lock key is enabled or disabled.

How do I switch productions?

From any page, click on the user menu button located at the top right corner. Select Switch Production. Click on the production you would like to switch to.

I don't have access to mycroogloo

Please contact a show's admistrator (usually a production office staff) to be added as a User. Croogloo is not authorized to manage inquiries related to individual production account access.

How do I get removed from a production?

Please contact a show's admistrator (usually a production office staff) to be removed as a User or from distribution from a show. Croogloo is not authorized to manage inquiries related to individual production account access.

I am missing an invite

If you have not received an invite, contact your production office administrators to get an account launched.
If you received an invite but are unable to find it in your inbox, navigate to mycroogloo.com and click "Forgot Password."

I've lost my access

If locked out, please contact production office administrators who can send you a new invite.


Contact Management

How do I add an Admin

You can "send invite" to any contact using the three-dot icon next to their name under contacts or directly from their contact card. This will promp you to select their Security Access Level. Choose Admin.

How do I give crew DTR permission?

Make sure to "send invite" to your crew member using the three-dot icon next to their name under contacts or directly from their contact card. This will promp you to select their Security Access Level. Choose DTR. DTR permission can be reviewed and edited under the Security tab.

How do I import my contacts

Find and click the "Add Contact" widget at the top right corner of every page in Croogloo. From here, select vCard to drag and drop a file, Google Contact Import to sync with a google account to import contacts, or finally Template to drag and drop a completed Excel form - this template automatically downloads when selected or can be found under the Templates tab.

How do I export my contacts

Under "Contacts" and "Distribution" or "Distribution" and "Lists", select Export from the cog wheel icon labeled "List Options". Here you will be prompted to select the distrubtion list for export. You may export as vCard, Excel Sheet or Google Contacts.
At this time, single contacts cannot be exported.

How do I invite crew to Croogloo

How to link cast w/ agent

Linking is as simple as going into your cast contact card, and under Agent selecting their representative. If the agent contact hasn't been added yet, you can add their details there. This process can also be done the other way around, by going to an Agent contact card and selecting the talent they represent. Please note, contacts have to be categorized as "Cast" and "Agent" for this feature to become available.


Distribution

How do I set Prod Office as the reply-to address?

Create a contact card for the Production Office email and set it to the Production department, and "Production Office" as position. Make sure to invite them as a user and select the Admin security settings. After validating the account, the email will show up as the reply-to address for all admins.

How do I know my email was successful?

Easy! From Basecamp, select Track Distribution. On the left you will find the list of all distributions made by all active users. Clicking on one will show the Distribution Report. By default, Distribution Reports are emailed to the sender - this can be adjusted in Production Settings

How do you send a PDF as a link?

On the Compose page, after attaching a file, an option will appear at the bottom left of the page that says: Send PDF Files as Links. Check the box to use this feature.

One of my contacts keeps dropping from distribution

The email was rejected by the recipient's mail provider. This could be related to an incorrect email or the email being flagged as spam. Validate the spelling of recipient's email address, review recipient spam filters, and try sending the email again. Bounce notifications will be sent independently of the tracking report, should any of your recipients fail to receive the message.

Crew member is not receiving distribution

First, ensure email isn't in spam, promotional or social inboxes. If not in one of those folders, this could be related to an incorrect email or the email being flagged as spam. Validate the spelling of recipient's email address, review recipient spam filters, and try sending the email again. Bounce notifications will be sent independently of the tracking report, should any of your recipients fail to receive the message.

Can I watermark documents?

Yes. On the right hand side under "Documents" select "Watermark". This will prompt you to select your distribution list, and file prior to customzing your watermark settings. Watermaking settings are also available when uploading a file for the first time.

How do I personalize my mass distributions?

In the compose page, after drafting your email, place the cursor where you would like to personalize your message. In the formatting header on the right side, select "Insert Recipient Name(s)". You will be prompted to choose between First or Last Name.

Accounting

Where do I find the DTRs?

All submitted reports are distributed to the Accounting email address designated as ADMIN security group.

DTRs can also be sourced from the Documents module, in the Time Reports folder. The latest version for each day is stored in the folder.

Where do I find the Weekly Timesheets?

All submitted reports are distributed to the Accounting email address designated as ADMIN security group.

Who has access to DTRs?

Invited department delegate have access to DTRs for their department only. Department delegate must be invited by account ADMINs to access DTRs.

ADMIN accounts access all departments.

Why didn't I receive an email for a specific department?

All submitted reports are distributed to the Accounting email address designated as ADMIN security group.

If a specific department is missing, the report was not processed successfully requiring another attempt to submit. Since Accounting have ADMIN access, you can retrieve the report on demand:

  1. Switch to the required department

  2. Review to ensure all times have been entered

  3. Select "Submit" at the bottom of the page

Do I need to sign-in to Croogloo?

All submitted reports are distributed to the Accounting email address designated as ADMIN security group, no further account registration or password set-up is required. Once the designated address is set, the reports will automatically publish to that email.

Admin

How do I complete a DTR on behalf of a department?

Admins have access to all departmental daily time reports. If you wish to submit times on behalf of a department you may:

  1. Switch to the required department

  2. Enter crew times

  3. Select "Submit" at the bottom of the page

Why aren't I receiving the DTR emails?

Please ensure that:

  1. Reports have not been delivered to spam folder

  2. You have been invited to the production on Croogloo as an Admin user

  3. Check for a typo in the stored email address

Why isn't a crew member included on the report?

They may be marked as "Not In". Please make sure that they are marked as either "Weekly" or "Daily".

To fix this, go to Order Members and select the appropriate report you wish the crew member to appear on.

How does someone still send distro without receiving DTR emails?

Note: If you grant a user ADMIN permissions, they will receive the DTR reports - which is why we recommend creating the new security group with the permissions desired.

Where is the DPR grid?

DTRs contain a sheet dedicated to the DPR grid, compiling all times for departments submitted into a table on the final sheet of the report, labelled "DPR GRID".

CREW

I'm logged into an old Production instead of my current one

If you are still logged in to an old production, navigate to the menu bar and select "Switch Production":

If you are having issues accessing your production please ensure:

  1. You have been invited to Croogloo

  2. Activated your account via your email invitation

  3. Clear all browser cache and cookies

  4. Try different browsers

How do I change someone from daily crew to weekly crew?

To change someone from a daily player to a weekly player select "Order Members" from the menu:

How do I create a weekly timesheet?

DTRs submitted through the week can be generated into a Weekly Timesheet in your preferred payroll format.

To publish a Weekly Timesheet click submit, then Submit Weekly:


Documents

Can I add more folders?

Yes! Under "Documents" and "Files" click on the "+Create" button and select whether you would like a folder, or shared folder. You can name and move the folder to whereever you wish

How do I export my files?

Under "Documents" and "Files" You can easily download one or all of your folders and documents by checking the box on the left side and under "Options" selecting "Download as Zip". This will save your files to your local drive.

How do I publish to studio?

Once you have connected to your Studio Cloud service or created your own Studio Hub, you can publish to studio on a file or folder level by using the 3-dot icon or selecting documents and going to "options". Select Publish to Studio to add the selected document(s) to the cloud.


System and Performance

I get a blank screen when I login

If clearing browser and production setting cache does not work, try accessing Croogloo from a different browser or device to see if the issue persists.

Ensure you have the correst security access. If clearing browser and production setting cache does not work, try accessing Croogloo from a different browser or device to see if the issue persists.

One person didn't get the email

If one or some recipients are experiencing issues with receiving distribution, they can resolve the issue by:
- Updating inbox settings: Store production email address in their contacts and mark it as a safe sender.
- Reviewing inbox folders: Check spam and promotions folders and search the inbox by subject line or production name.
- Private servers: This must be cleared by the private server. Croogloo has no control over private servers.

How do I refresh my Croogloo cache?

This can be done by going to "Settings" and under "Production Settings". The first option is a "Refresh Cache" button.

How do I refresh my browser cache?

To clear your browser cache, go to the settings or options menu, find "Privacy," "History," or "Clear browsing data," and select "Cached images and files." Choose a time range (e.g., "All time") and confirm to clear the cache.

What do I do when nothing is working

If clearing browser and production setting cache does not work, try accessing Croogloo from a different browser or device to see if the issue persists. Confirm if other members of your team are having the same issue. If the issue persists submit an inquiry form for a member of our team.


Security

I forgot my password

No problem. Navigate to the log in page (https://ui.mycroogloo.com/#/login) and click on "forgot password". You will be promted to enter your email to receive next steps to creating a new password. A recovery email will be sent to you. Enter the temporary password from the recovery email and set a new password. Please make sure your email and password are entered correctly. If copy/pasting, make sure no extra spaces were included, which would result in the log-in failing.

How do I add an Admin?

You can "send invite" to any contact using the three-dot icon next to their name under contacts or directly from their contact card. This will promp you to select their Security Access Level. Choose Admin.

How do I remove an Admin?

Removing an Admin can only be done through the Security Groups tab. Select Admin, find and select the person you would like to remove and click on Remove Selected.

Why can't an admin user see files?

Under Security and Groups, ensure that the user is listed as an Admin, and that all premissions are acurrately listed as RW for admins. Next, confirm with the User that they have validaded their User status through the invitation email sent upon invite. Also ensure the user clears their cache to erase any stale data.


Subscription

How does my free trial work?

Side Kit trial is 1 day and Report or Distribution Kits are 5 days

how do I upgrade package?

Upgrades, or changes to your kit subscription can be made throught your profile icon located at the top right corner of your screen and select Manage Subscription. Your request for changes will be submitted to the support team for implementation. Please note this option is only available for administrators.

How do I end my subscription?

From the User icon located at the top right corner of every page in Croogloo, indicated by a double initial, select "End Subscription" from the options. Please note this option is only available for administrators.

How do I cancel my account?

If your personally identifiable information changes, or if you no longer desire our service, you may correct, update, delete or deactivate it by making the change on our member information page or by emailing our Billing Team at [email protected]

How do I request an Invoice or payment receipt?

Invoices and receipts are automatcially issued via email on your billing cycle close and upon payment receipt. Should you need to request one, please fill out a Billing Request (available through the chat icon below) to submit your request.

Where do I get your Business tax no.?

Our business tax number can be found on all of our invoices and receipts. Should you require any more details, please fill out a Billing Request (available through the chat icon below) to submit your request and select Tax Form Request.
